NoteVault is a rich text note-taking system built directly into GitScrum. Capture meeting notes, document decisions, store research, and share knowledge—all organized by folders and accessible across your workspace.

Why NoteVault Exists

Knowledge lives everywhere except where you need it. Meeting notes in one app, decisions in another, research scattered across documents. NoteVault centralizes workspace knowledge:

The NoteVault Interface

The header provides quick access to key actions:

  • Search: Find notes by title or content
  • Create Note: Start a new note immediately

Search is instant—results filter as you type. Clear search with Escape or the X button.

Folder Sidebar

The left sidebar organizes notes:

Fixed Sections:

  • All Notes: Complete note list
  • Unfiled: Notes without folder assignment
  • Public: Notes with sharing enabled

Folders Section:

  • Custom folders you create
  • Note count per folder
  • Click to filter main view
  • Drag notes to move between folders

Colors Section:

  • Filter by note color
  • Visual organization option

Note List

The main area displays notes matching current filter:

  • Card View: Visual preview with title and snippet
  • Title, color indicator
  • Owner name
  • Last updated timestamp
  • Visibility indicator (public/private)

Click any note to open for viewing or editing.

Creating Notes

Quick Create

Click "Create Note" in the header:

  1. New note opens immediately
  2. Enter title (click title area)
  3. Start typing content
  4. Auto-saves as you type

Note Properties

Title: Identifies the note in lists and search. Click to edit.

Folder: Organize into folders via dropdown. Can be "Unfiled".

Color: Visual categorization. Choose from palette.

Content: Rich text body with full formatting.

NoteVault uses a full-featured editor based on Quill:

Advanced Features

Viewing and Editing

View Mode

Default state when opening a note:

  • Rendered content
  • Full formatting visible
  • Read-only (click Edit to modify)

Edit Mode

Click "Edit" to modify content:

  • Toolbar appears
  • Content becomes editable
  • Changes auto-save

Click "Save" or navigate away to exit edit mode.

Owner Controls

Only note owners see:

  • Edit button
  • Color picker
  • Folder selector
  • Share controls
  • Delete option

Non-owners see read-only view.

Folder Management

Creating Folders

  1. Click "+" in sidebar Folders section
  2. Enter folder name
  3. Press Enter to create

Folders appear in sidebar immediately.

Folder Features

Renaming: Click folder menu → Rename Deleting: Click folder menu → Delete (moves notes to Unfiled) Color: Some themes support folder colors

Moving Notes

Via Dropdown:

  1. Open note
  2. Click folder dropdown in header
  3. Select destination folder

Via Drag and Drop:

  1. Grab note from list
  2. Drop onto folder in sidebar

Note Colors

Colors provide visual categorization without folders.

Setting Colors

  1. Open note
  2. Click color indicator
  3. Select from palette

Color Filtering

Click any color in sidebar Colors section to filter notes.

Suggested Usage

  • Red: Urgent/important
  • Yellow: In progress/review
  • Green: Complete/approved
  • Blue: Reference material
  • Purple: Ideas/concepts

Sharing Notes

Private vs. Public

Private Notes:

  • Only visible to owner
  • Cannot be shared via link
  • Default state

Public Notes:

  • Visible to workspace members
  • Can generate shareable link
  • View count tracked

Enabling Sharing

  1. Open note you own
  2. Click share icon or toggle share panel
  3. Enable "Shareable"
  4. Copy generated link
  • Copy URL: One-click copy
  • View Count: Track how many views
  • Regenerate: Create new link (invalidates old)

Public Note Access

Anyone with the link can view:

  • Note content (rendered)
  • Title
  • No edit access

They cannot see:

  • Other notes
  • Workspace data
  • Owner details (unless in note)

Search Functionality

Search Scope

Search queries match:

  • Note titles
  • Note content
  • Fuzzy matching supported

Search Behavior

  • Real-time: Results filter as you type
  • Highlighted: Matches highlighted in results
  • Combined: Works with folder/color filters
  • Press Escape
  • Click X in search field
  • Delete search text

For Note Owners

Organization Strategies

By Project

Create folders matching project names. Store:

  • Meeting notes
  • Decision logs
  • Research findings
  • Stakeholder feedback

By Type

Organize by note purpose:

  • Meetings: Call and meeting notes
  • Decisions: ADRs and decision logs
  • Research: Investigation findings
  • Templates: Reusable note structures

By Status

Use colors for workflow:

  • Draft (gray): In progress
  • Review (yellow): Needs review
  • Final (green): Approved/complete
  • Archive (blue): Historical reference

Hybrid Approach

Combine folders for topic, colors for status:

  • Folder: "Q4 Planning"
  • Color: Yellow (in progress)

Best Practices

Note Titles

Be specific: "Q4 Planning - Marketing Budget" not "Meeting Notes" Include date: For recurring notes: "Standup 2024-01-15" Prefix patterns: "DECISION:", "MEETING:", "RESEARCH:"

Content Structure

Use headings: Break up long notes Add context: Date, attendees, purpose at top Link related: Reference other notes or resources Action items: Clear next steps at bottom

Sharing Guidelines

Default private: Only share what needs sharing Expiration awareness: Public links persist—remember what's shared Sensitive content: Keep confidential info in private notes

Folder Hygiene

Regular cleanup: Archive completed project folders Consistent naming: Establish naming convention Limit depth: Flat structure easier than nested

Troubleshooting

Note Not Saving

Check:

  • Network connection stable
  • Session not expired (try refresh)
  • Content not exceeding limits

Try:

  • Copy content to clipboard
  • Refresh and paste back

Search Not Finding Notes

Verify:

  • Correct spelling
  • Note exists and is visible to you
  • Filters not excluding the note

Check:

  • Sharing is enabled on note
  • Link hasn't been regenerated
  • Note hasn't been deleted
  • No network/firewall issues

Folder Missing Notes

Possible issues:

  • Notes moved to different folder
  • Notes are in "Unfiled"
  • Filter (color, search) hiding notes
