Document Management
The Documents section provides file storage and organization for your project. Upload files, organize into folders, and integrate with cloud storage services. All project-related documents live here, from design assets to specifications to meeting recordings.
The Problem This Solves
Project files scatter across personal drives, email attachments, and various cloud services. Finding the latest design mockup means searching through emails. Sharing a spec requires uploading to yet another service. Version confusion reigns.
Documents centralizes file storage where work happens. Team members access files without asking "where is it?" Project files organize alongside tasks and discussions, creating a single source of truth.
What You Are Looking At
The Documents interface presents a file manager with modern features:
Header Bar: View mode toggles (card/list), breadcrumb navigation showing current folder path, search field, and action buttons for creating folders and uploading files.
Stats Bar: Quick counts of folders and files in current view, back navigation when inside folders.
Content Area: Files and folders displayed in either card grid or list table format. Supports drag and drop for uploads and organization.
View Modes
Card View
Files and folders display as visual cards:
- Folder icons show container metaphor
- File cards show type icons or thumbnails
- Grid layout responsive to screen size
- Quick visual scanning
Toggle card view using the grid icon in the header.
List View
Files and folders display in a table:
| Column | Content |
|---|---|
| Name | File or folder name with icon |
| Size | File size (folders show "-") |
| Modified | Last modification date |
| Owner | Who uploaded the file |
List view works well for:
- Dense file listings
- Sorting by columns
- Quick keyboard navigation
Toggle list view using the list icon in the header.

File Organization
Folder Structure
Suggested organization:
Documents/
├── Design/
│ ├── Mockups
│ ├── Assets
│ └── Brand
├── Technical/
│ ├── Architecture
│ └── API Specs
├── Meetings/
│ ├── 2024-Q1
│ └── 2024-Q2
└── Resources/
├── Templates
└── ReferencesNaming Conventions
Establish team standards:
- Date prefixes: "2024-01-15MeetingNotes.pdf"
- Version suffixes: "Design_v2.fig"
- Status prefixes: "DRAFT_Proposal.docx"
File Hygiene
Maintain organization:
- Archive old versions periodically
- Remove obsolete files
- Keep folder structure flat enough to navigate
- Document folder purposes in README files
Permissions
Document access follows project permissions:
| Role | Upload | Create Folders | Delete |
|---|---|---|---|
| Agency Owner | ✓ | ✓ | ✓ |
| Manager | ✓ | ✓ | ✓ |
| Developer | ✓ | ✓ | Own files |
| Client | View only | ✗ | ✗ |
Settings may further restrict access.
Pro Features
Some document features require Pro plan:
- Create Folders: Organize into hierarchies
- Dropbox Integration: Import from Dropbox
- Google Drive Integration: Import from Drive
- Increased Storage: Higher limits
Free plans include:
- File uploads
- Basic viewing
- Downloads
Storage Limits
Storage quotas vary by plan:
| Plan | Storage |
|---|---|
| Free | Limited |
| Pro | Higher limit |
| Enterprise | Custom |
Check workspace settings for current usage.
When approaching limits:
- Archive old files externally
- Remove unused uploads
- Consider upgrading plan
Best Practices
Upload Thoughtfully
- Upload project-relevant files only
- Use appropriate folders
- Name files descriptively
- Consider file size
Organize Early
Set up folder structure before uploading many files. Moving files later is more work.
Use Cloud Integration
For large files or existing cloud storage:
- Link from Dropbox/Drive
- Avoid duplicate uploads
- Keep master in one location
Document Purpose
Create README files in folders explaining:
- What belongs here
- Who maintains it
- Naming conventions used
Troubleshooting
Upload fails:
- Check file size limits
- Verify file type allowed
- Ensure stable internet
- Try smaller batches
File not appearing:
- Refresh the page
- Check correct folder
- Wait for upload completion
- Check for error notifications
Cannot create folder:
- Verify Pro subscription
- Check permissions
- Try different folder name
Preview not loading:
- Some file types don't preview
- Download to view locally
- Large files may take time
Cloud import stuck:
- Re-authenticate service
- Check cloud service status
- Try fewer files at once
