Team Members: Build and Organize Your Workspace

Team Members is your workspace's people hub. Invite collaborators, organize members into teams, manage roles, and maintain access control—all from one unified interface.

Why Team Members Matters

Projects don't execute themselves. Team Members turns your workspace from a solo environment into a collaborative engine. Here's what you gain:

  • Organized collaboration: Group members into purpose-built teams
  • Scalable access: Team assignments cascade to projects automatically
  • Clear visibility: See who's active, pending, and how they're organized
  • Controlled growth: Invite precisely who you need, when you need them

The Team Members Interface

Access Team Members from the workspace navigation. The view combines a sidebar for navigation with a main table showing detailed member information.

Header Section

The page header provides at-a-glance metrics:

Two action buttons appear:

  • Import CSV: Bulk invite members from a spreadsheet
  • Add Member: Open invite dialog for individual invitations

The left sidebar organizes your view:

Fixed Sections:

  • All Members: Complete member list
  • Pending Invites: Invitations not yet accepted (appears only when invites exist)

Teams Section:

  • Dynamically lists all workspace teams
  • Each team shows name and member count
  • Click to filter the main table by team
  • Plus button to create new teams

Main Table

The central table displays members with sortable columns:

Inviting Members

Individual Invitations

  1. Click "Add Member" in the header
  2. Enter email address
  3. Select workspace role
  4. Optionally assign to teams
  5. Click "Invite"

The invited person receives an email with instructions to join your workspace.

Invite Form Fields

Email: Required. Must be valid email format. Duplicates rejected.

Role: Choose the appropriate access level:

  • Agency Owner: Full administrative control
  • Manager: Project and team management
  • Developer: Full task interaction
  • Client: Limited view access

Teams: Optional. Pre-assign to teams during invitation.

Bulk Import via CSV

For multiple invitations, use CSV import:

  1. Click "Import CSV"
  2. Upload a CSV file with columns:
  • email (required)
  • role (optional, defaults to Developer)
  • name (optional)
  1. Review the import preview
  2. Confirm to send all invitations

CSV Format Example:

Pending Invitations

Invitations appear in "Pending" view until the recipient:

  • Accepts and creates/links account
  • Invitation expires (typically 7 days)
  • You cancel the invitation

Managing Pending Invites:

  • Resend: Re-send invitation email
  • Cancel: Revoke the invitation

Team Management

Creating Teams

  1. Click the plus icon in the sidebar "Teams" section
  2. Enter team name
  3. Choose team color (optional)
  4. Click "Create"

Teams appear immediately in the sidebar.

Team Configuration

Team Name: Descriptive identifier (e.g., "Frontend Development", "Client Success")

Team Color: Visual identifier used in:

  • Sidebar navigation
  • Team assignment badges
  • Project member views

Assigning Members to Teams

From Member Row:

  1. Click actions menu on member row
  2. Select "Manage Teams"
  3. Check/uncheck team memberships
  4. Save changes

From Team View:

  1. Select team in sidebar
  2. Click "Add Members" action
  3. Select members to add
  4. Confirm

Team Benefits

Project Access: Assign a team to a project, all team members gain access automatically.

Organization: See team-filtered views for focused management.

Self-Maintaining: Adding someone to a team grants them access to all team projects. Removing revokes access.

Role Management

Available Roles

RoleCapabilities
Agency OwnerFull control: billing, settings, all projects, all members
ManagerManage projects, teams, content. Limited settings access
DeveloperFull task interaction. No administrative access
ClientView access, commenting. Limited to assigned projects

Changing Roles

  1. Click edit on member row
  2. Select new role from dropdown
  3. Save changes

Role changes take effect immediately. The member's capabilities update on their next page load.

Role Restrictions

  • Cannot demote the workspace owner
  • Cannot promote to a role higher than your own
  • Some role changes may require subscription upgrade

Member Actions

Individual Member Actions

Edit: Modify role, team assignments, or profile details

Remove: Revoke workspace access. Member loses access to all projects immediately.

View Profile: See member's workspace activity and details

Removing Members

  1. Click remove action on member row
  2. Confirm the removal
  3. Member immediately loses access

What happens on removal:

  • All project access revoked
  • Team memberships cleared
  • Time entries preserved (for reporting)
  • Tasks assigned remain assigned (or become unassigned per settings)

Cannot remove:

  • Yourself
  • The workspace owner (must transfer ownership first)

Type in the search field to filter by:

  • Name (partial match)
  • Email (partial match)

Results update as you type.

Click sidebar items to filter:

  • All Members: No filter
  • Pending: Only pending invitations
  • [Team Name]: Only members of that team

Combining Filters

Search works within the current sidebar selection. Select "Frontend Team" then search "John" to find John within the Frontend Team.

Subscription Impact

Member count affects subscription pricing. Adding members may:

  • Auto-upgrade plan to next tier
  • Trigger prorated billing
  • Hit plan limits (blocking further invites)

Check your subscription status before bulk invitations.

Cancelled Subscription

If subscription is cancelled:

  • Cannot invite new members
  • Cannot import CSV
  • Existing members remain until workspace closes

Empty States

First Time (No Members)

If you're the only member, the view displays:

  • Welcome message
  • "Build Your Team" prompt
  • "Invite First Teammate" button

No Team Members

When viewing a team with no members:

  • "No members in this team"
  • "Add members" action

No Search Results

When search finds nothing:

  • "No members found"
  • "Clear search" option

Team Organization

By function: Frontend, Backend, Design, QA By project: Project Alpha Team, Project Beta Team By role: Developers, Project Managers, Stakeholders

Role Assignment

Least privilege: Assign minimum role needed Review regularly: Audit role assignments quarterly Document decisions: Note why elevated roles were granted

Invitation Hygiene

Verify emails: Incorrect emails waste invitations Clean pending: Cancel old pending invites periodically Welcome new members: Consider onboarding documentation

Team Maintenance

Regular audit: Review team memberships monthly Archive inactive teams: Don't delete—historical reference matters Consistent naming: Establish team naming convention

Troubleshooting

Invitation Not Received

Check:

  • Email address spelled correctly
  • Spam/junk folder
  • Corporate email filters

Try:

  • Resend invitation
  • Try alternate email address

Member Can't Access Project

Verify:

  • Member is active (not pending)
  • Member is assigned to project (direct or via team)
  • Project is active (not archived)

Can't Change Role

Possible issues:

  • Your role doesn't permit the change
  • Target role requires upgrade
  • Cannot modify workspace owner

Team Not Showing

Check:

  • Team was saved successfully
  • Page hasn't been refreshed (try refresh)
  • Sidebar is fully scrolled to see team
